Site Administrator

Site Administrator Duties

  • Create and maintain Lot specific files and update all hard copy and electronic files.
  • Create and maintain lot specific packages for Trades on site.
  • Create work orders and schedule service pertaining to QA reports and PDI reports.
  • Coordinate follow-up with Site Supervisors and Trades regarding outstanding QA/PDI items.
  • Coordinate QA items for completion and sign off prior to Pre-Delivery Inspection.
  • Coordinate completion of PDI items prior to 30 Day Warranty Service and obtain homeowners signature on completed items.
  • Receive, direct, and respond to all modes of customer contact with consistent follow-up on all matters/queries received until the point of resolution.
  • Liaison with Head Office and trades as necessary to complete deficiency lists in a timely manner and/or provide customer resolution.
  • Home closing/occupancy duties including scheduling key pick up, distribution of keys and welcome home gifts, if applicable.
  • Manage emails, answer phones, filing, and respond to requests from the trades, homeowners, Supervisors and Head Office.
  • Field payroll entry and submission to Corporate Office site staff.
  • Vehicle tracking and logging of repairs, inspections, and all other related requirements.
  • Coordinate vehicle repairs as required.
  • Update Construction Schedule as provided by Site Supervisors.
  • Ensure that Trade/City inspections have been completed and signed off on.
  • Create PO’s as provided by site supervisors, file and maintain PO’s and provide a copy to head office.
  • Acknowledge and sign-off on all deliveries.
  • Provide Inspectors, Trades, or City Representatives with drawings, sitings, etc.
  • Other tasks as directed by the Site Management or Head Office.

Customer Service Duties

  • Greet all homeowners and Trades as they come into the Construction trailer.
  • Respond accurately and quickly to homeowner and Trade inquiries, and assist with the resolution process if needed. Follow up to ensure a resolution has been met.
  • Build sustainable relationships and trust with the homeowners and Trades through open and interactive communication.
  • Follow communication procedures, guidelines and policies.
  • Take the extra mile to engage homeowners

Requirements

  • Excellent administrative management skills.
  • Strong interpersonal skills.
  • Strong computer skills.
  • Excellent oral and written communication and organizational skills.
  • A self-starter; ability to work independently with minimal supervision.
  • Personal accountability with proven results.
  • Personable and service-oriented.
  • Intermediate/Advanced level computer skills for applications including Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Experience in home builder software and database software a plus.
  • Understanding of accounting principles.
  • Strong ability to maintain accurate records and filing system.
  • Strong organizational and time-management skills.
  • Ability to adapt to critical incidents, problem solve, and maintain multiple priorities, without compromising the quality of work.
